Job Summary Orange Beach City Schools Job Title: School Clerk Reports to: School Principal or Designee Job Goal: To assist in the administration in the smooth and efficient operation of the department(s) assigned Qualifications: Holds a high school diploma or equivalent Post-secondary training at a technical or business college is preferred Ability to use technology to communicate, manage data, and produce/submit required reports, correspondence, and/or school information Proficiency in oral and written communication skills Demonstrates aptitude or competence for assigned responsibilities Alternatives to the above qualifications as the Board might find appropriate and acceptable Performance Responsibilities: Performs typical office practices; answers telephone, types and enters data, organizes, files, prepares and submits reports, handles correspondence as assigned, and performs various clerical functions, in a busy office with frequent interruptions and limited supervision Maintains confidentiality of all information concerning school matters Greets all guests in a cordial and friendly manner that promotes public and community support for the school system Maintains log of visitors and sign-in/out roster of visitors Uses effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups (e.g. staff, parents, probation officers, other schools, and/or students, etc.) for the purpose of providing information and/or directions Communicates with parents, students, staff, etc. in person, by telephone or letter for the purpose of providing information on a variety of attendance issues and meeting district and state absence notification requirements Maintains a variety of attendance records, schedules, and files (manual and computer) (e.g. contact and telephone logs, student attendance, school calendars, etc.) for the purpose of providing reliable information in compliance with district policies Ensures accuracy of attendance records, including verification of forgeries and truancies for the purpose of complying with State laws governing attendance accounting Prepares a variety of reports and written materials (e.g. passes, standardized and special attendance reports, letters to parents, etc.) for the purpose of conveying information regarding school and/or district activities and procedures Processes documents and materials (e.g. attendance records, student placement, disciplinary and/or suspension notices, etc.) for the purpose of disseminating information to appropriate parties Receives, sorts, and delivers all incoming mail Demonstrates initiative in identifying opportunities for improvement in areas of responsibility Properly uses and cares for equipment and material resources of the school system Supports, and complies with school system rules, administrative procedures, local Board policies, and state, federal, and local regulations Performs other tasks and assumes other responsibilities as may be assigned by supervisor(s) Terms of Employment/Salary: 10 months (202 Days) / Non-Exempt / To be determined, commensurate with local salary matrix, credentials, and experience.
